When is my BCIT-Issued Laptop or Desktop Available for Replacement?
Desktop replacements
Admin Desktop computers are no longer eligible for replacement through the Replacement Program.
If you would like your desktop to be upgraded to a laptop your department will need to fund the purchase of a replacement laptop. Please see the current laptop technical specifications to review our current Laptop standards.
Eligibility requirements
Current laptop is not a spare that sits in a drawer/cabinet most of the time.
Current laptop is a primary device. i.e. It is your only BCIT Computing device.
Laptop Replacement Schedules
ITS issued laptops are not owned by BCIT and are instead leased for thirty-nine months. They are also covered under warranty for three years (warranty only covers manufacturing defects, and it does not cover physical or water damage). These schedules apply only to the specified laptop models which have been deployed by ITS. These models of laptop adhere to current ITS hardware standards.

Previous laptop standards that are no longer a part of the program and are not eligible for replacement. These models were previously a part of the replacement program but their replacement window has since passed and they are no longer a part of the program.

Additionally, any devices that are replaced as a part of the one-time replacement processes are NOT a part of any replacement program, are not covered under warranty and are for your department to use until the device no longer functions

All equipment requests need to be submitted with manager approval to BCIT Purchasing via a web request through Millennium. Depending on stock availability equipment requests may be deployed directly or require a special order.

If your laptop model is not listed, it is likely a “Non-Standard” laptop or is too old to be listed here. Non-Standard Laptops are devices that have been purchased for a specific department with a different hardware specification that are not a part of ITS hardware standards. These laptops are not issued to employees by ITS and are instead issued to employees by the department who purchased them. These laptops are owned by the department who purchased them and are NOT a part of the laptop replacement cycle. The department is responsible for maintenance, troubleshooting and eventual replacement of these laptops.

Laptop Replacement Program information
The Replacement Program refers to the annual replacement of Admin and Faculty laptops. These laptops are laptops that are issued by ITS and conform to BCIT ITS’s laptop hardware standards, previous laptop standards can be found on the current page under the “When is my laptop eligible”. ITS issued laptops are not owned by BCIT and are instead leased for thirty-nine months. They are also covered under warranty for three years (warranty only covers manufacturing defects, it does not cover physical or water damage).
As mentioned above, ITS issued laptops are on a thirty-nine month replacement cycle. These cycles typically take place three times a year – Spring, Summer and Fall. There are no specific set dates of the cycles, they occur as we receive stock. Once ITS receives stock and we’ve prepared the laptops for deployment we will notify all those eligible for replacement via email, with instructions on how and where to fill out a replacement request. As part of our replacement notification process, we reach out to the Primary user (or custodian) of the device as specified in our inventory. We will also notify the Primary User’s listed manager to inform them of the ongoing replacement.
The laptops are expected to be returned to ITS in working condition. Should the laptop be rendered no longer functioning and not repairable by warranty, it will result in ITS being unable to return the device to our leasing company. BCIT will be charged the monetary value of the laptop determined at the end of the thirty-nine months by our leasing company, and this amount may be charged to the department the laptop belonged to.
