Frequently Asked Questions About Zoom

In order for you to schedule a meeting on behalf of someone else, they will need to give you scheduling privileges in their zoom settings. Have the person you need to schedule for perform the following steps:

1. Sign in to bcit.zoom.us with their usual BCIT credentials.
2. On the left-hand menu click Settings
3. Under the Meetings section, click other
4. Find the settings section named Schedule Privilege, click the arrow next to Assign scheduling privilege to:
5. Enter the BCIT email address for the delegate.
6. Click Assign.

Once you have been given privileges you will see a new option to schedule on behalf of the user in your settings window the next time you schedule a meeting in Outlook. (Please note it can sometimes take a few hours before the new setting appears)

If you are the host of a meeting and you have allowed participants to join without the meeting host, sometimes people will go into the meeting before you. When this happens zoom sends an email notifying you that they have arrived. If you want to turn off this email notification you can perform the following steps:

1. Sign in to bcit.zoom.us with your usual BCIT credentials.
2. On the left-hand menu click Settings
3. Under the Meetings section, click Email Notification
4. Uncheck the option for When attendees join before host.

No, at this time we are only licensed for BCIT Faculty and Staff to have a BCIT zoom license. Students can join sessions hosted by BCIT Staff and Faculty by using a guest account.

As of November 23, 2022, all BCIT faculty and staff will be able to use Zoom’s cloud recording feature. For faculty, this will replace the option to record locally and for staff this is new functionality.

Local recording processed and saved the meeting recording locally, i.e., on your computer. Cloud recording moves all of that to the Zoom cloud. This has several advantages:

• Since the recording processing is done using the Cloud’s resources rather than your computer’s, your computer isn’t taxed with processing a long video file after a meeting, which can have an impact on performance.
• Sharing a cloud recording is as simple as emailing someone a link to where they can view the video online.
• Cloud recordings don’t take up any space on your computer’s hard drive, unless you choose to download them.

Important: Recordings only remain in the Cloud for 120 days. After 120 days, recordings are automatically deleted and cannot be retrieved, even by BCIT’s Zoom administrators. If you want to keep a recording beyond that period, you’ll need to download it.

Cloud recordings are available for 120 days after they are recorded, after which time they are automatically deleted. If you want to retain the recording beyond 120 days, you’ll need to download it to your computer.

By default, only the meeting host will be able to access and download the recording. If you choose to, you can share a recording by providing a link to the recording. When you do so, you have the option to turn the ability to download the recording on or off. If you turn download off, the recipient will be able to view the recording online, but not download the files to their own device.
