Providing Student Consent to Access ShareFile in myBCIT Online Self Service

ShareFile is a service with two components. One component is hosted at BCIT and one is hosted by Citrix Systems Inc. in the United States. All of your files as well as your ID and password are stored at BCIT and are never transferred to Citrix. The website and certain management functionality is hosted in the US. In order to link that functionality with your account at BCIT Citrix Systems Inc. requires your First Name, Last Name and BCIT provided email address.

According to the British Columbia Freedom of Information and Protection of Privacy Act (FIPPA), students must provide consent to transfer any personal data to the US including the information mentioned above. Citrix has their own privacy policy which governs how that information is stored and used.

Providing consent

In your browser:

  1. Go to my.bcit.ca and log in using your usual BCIT login credentials.
  2. Click on Student Self Service.

  3. Click on Manage Software Consent.

  4. You’ll see a list of software packages for which you are eligible, with your current consent status (“consent not given” if it’s your first visit to this page). Click Provide Consent under ShareFile.

  5. Read the Privacy Notice carefully and provide consent if you agree by choosing Yes and clicking the Submit button.

You’ve successfully provided your consent and will now be shown a reminder that it may take up to two hours before you can access ShareFile.

How to withdraw consent

In your browser:

  1. Go to my.bcit.ca and log in using your usual BCIT login credentials.
  2. Click on Student Self Service.

  4. You’ll see a list of software packages for which you are eligible, with your current consent status of “consent given”. Click Withdraw Consent under ShareFile.

  5. Check the No radio button and then click the Submit button.

After clicking Submit your account will be disabled and you will no longer be able to use ShareFile. To have Citrix permanently remove your information from their systems you must contact them by email at privacy@sharefile.com, by calling 1-800-441-3453, or by writing to 120 S. West St., Raleigh, NC 27603, USA.
